FAQs on Degree Audits

What is a degree audit?

An academic audit is a review of past, current and planned coursework that provides information on completed and needed catalog requirements necessary to complete your degree. The audit is divided into block requirements such as Degree, General Education, and Major requirements. Each section works like a checklist that has boxes that are "checked off" when the requirement is met.

How do I run a MyMotlowGPS Audit?

Student's access MyMotlowGPS through their "MyMotlow" account

  • Log into your MyMotlow Account
  • Select the Student Tab
  • Select DegreeWorks:MyMotlowGPS (Graduation Planning System)
  • Information regarding your chosen major will automatically load for viewing

Why do I get a note stating that my "major cannot be found"?

MyMotlowGPS was implemented starting with the 2011-12 catalog for Motlow College. If you have a program that was no longer available in the 2011-12 catalog, MyMotlowGPS has not been built to "break down" that major. You may process a "What If" scenario (see the instructions under the "What If" FAQs) to process your coursework against a degree under a current catalog. If you choose to remain in a program under an old catalog, a manual audit must be performed.

How current is my information in MyMotlowGPS?

The information in MyMotlowGPS is refreshed each night. Any changes made today (e.g. grade changes, classes added or dropped, etc.) will be seen in MyMotlowGPS the following day.

Does MyMotlowGPS include my transfer credits?

Yes. Once your transfer work has been reviewed and articulated by our records office, it will appear on your audit.

Can I see how many classes I have left to fulfill my degree requirements?

Yes. MyMotlowGPS is laid out in block format displaying Degree, general education and major requirements. Look for unchecked boxes to identify requirements that you still need to complete.

What do I do if I believe that some of my coursework is not being applied correctly?

Your first step is to speak with an academic advisor. Your advisor will look at your requirements with you and can assist you in getting to the appropriate department if it truly is not applying correctly.

These are some of the most common problems and courses of action:

My major is wrong on my audit.

If you have not officially changed your major, please follow the steps to process this change through our records office. MyMotlowGPS will recognize the degree change the day after the paperwork has been processed. (You can always use a "What If" scenario until the change occurs in MyMotlowGPS.)

My courses are not applying in the "right" place.

MyMotlowGPS uses a "best fit" approach for meeting requirements so classes may apply to different sections as you take more courses. If you have further questions, please contact an academic advisor for assistance.

My transfer work does not appear in the right place.

If you are concerned about a transfer course that should be applying in the audit, contact an academic advisor.

My advisor was going to ask for permission to substitute a course, but it isn't showing on my audit.

Talk with your advisor. There is a process that must be followed for formal approval of any substitutions. Your advisor will be able to move the substitution through the formal process and, if approved, it will be entered into your information where it can be seen on future audits.

How is my degree audit different from my transcript?

Your degree Audit is a tool to provide you with academic information related to your degree progress. It displays courses required and completed in your degree program. Your transcript is your official college academic record and provides a chronological list of courses completed and other academic information.

What is the "What if" feature?

The "What if" feature will allow you to view your coursework under a different major. This is very useful if you are looking at possibly changing your major.

How do I use the "What if" Planning?

To view how your courses count in a different major, you must:
  • Click on the "What If" button
  • Select the degree you are considering
  • Select the catalog year that matches the year that you will change to that major
  • Click process audit
  • Review carefully how your courses would count in the new major
  • Discuss the new major with an academic advisor

FAQs on Student Educational Planner (SEP)

What is the Student Educational Planner (SEP)?

The SEP is a tool where you and your advisor can arrange your course requirements into future semester blocks. You and your academic advisor may find this helpful as you forecast your academic plans. It is recommended that you meet with an academic advisor to create an active plan and that you keep it up-to-date, as this information may be used by college administrators to determine the demand for certain courses in future terms.

How do I get an SEP?

You will meet with your academic advisor and together you will map out your course requirements to show suggested courses for each term here. An SEP can be built for the following term or for your entire time at Motlow College.

Will putting courses on my planner change the way my audit looks?

No. Nothing entered on the planner will affect your actual audit. You can, however, see how the courses you have entered in your planner will apply in your audit by checking the boxes next to the semester blocks that you wish to include (check all of the boxes to see how your audit will look if you complete the entire plan) and then clicking on "Run a New Audit". In the audit on the left hand side of your screen, you will see how the planned courses applied to your degree requirements.

If my advisor puts a course in my planner, am I automatically registered for that course in that future term?

NO. Your SEP is for planning purposes only. Registration will still occur in your MyMotlow
